Setting Up Email Forwarding with Virtualmin – Guide for Small Organizations

Why email forwarding is useful for your organization
If you run a small organization, association, or startup, you often want emails to a general address like info@yourorganization.de to be read by multiple people. Instead of giving everyone the password for a shared mailbox, you can set up email forwarding. This way, messages are automatically sent to the private email addresses of team members.
Prerequisites
You need access to Virtualmin with administrator rights and a domain registered with us. If you don't have a domain yet, check out our Domain Registration.
Step-by-step guide to creating a forward
1. Log into Virtualmin
Log into your Virtualmin account. Navigate to the virtual server that manages the domain for which you want to set up forwarding.
2. Open the "Email" menu
Click on "Email" in the left menu, then on "Forwarding".
3. Create a new forward
Click on "Create a new forward". A form opens:
- Email Address: Enter the address from which you want to forward, e.g., info@yourorganization.de.
- Forward to: Enter one or more destination addresses, separated by commas, e.g., max@example.com, lena@example.com.
- Check the box "Keep local delivery" (optional): If you want a copy of the email to remain in the mailbox of info@, enable this option.
4. Save
Click on "Create". The forward is now active. Test it by sending an email to the configured address.
Other useful settings
Email filters for advanced rules
Virtualmin also offers the ability to use email filters. This allows you to forward only certain subject lines or block messages with attachments, for example. Go to "Email" → "Filters".
Mailbox instead of forwarding
If you later prefer a shared mailbox with multiple users, you can also create email accounts in Virtualmin and grant access to them. This is especially useful when team members need their own folder structures.
